Filtering Junk E-Mail with Entourage X

The message rules in Entourage X can be easily used to filter your junk e-mail, aka spam. A rule is a set of instructions you create that tell Entourage how to handle your mail. Each rule consists of two basic parts: criteria and action.

You can filter spam into a folder so you can make sure that you didn't catch anything accidentally, or automatically delete it. Check out all of the options, and see what works best for you. The instructions below will show you how to filter e-mail that isn't addressed to you into a folder. You can check it at your convenience, rather than have it mixed in with your other e-mail.


To filter junk mail:

  1. Highlight your Inbox folder. Add a folder to your Inbox by selecting New from the File menu, and choose Subfolder. Type a name for the folder and press the return key.

  2. You should see the new folder below your Inbox folder as illustrated below. We named our folder Spam.

  3. Next, go to Tools on the Menu, and select Rules.

  4. Click on New.

  5. Complete the following information:
    1. Rule name: Type in a name for the rule you are creating; we chose Spam.
    2. If Section:
      1. In the first drop-down menu, choose Any To recipient as the criteria.
      2. In the second drop-down menu, choose Does not contain.
      3. Type in your e-mail ID (the part to the left of the @ sign) in the space to the right. Do not enter the entire e-mail address. If you use just the e-mail ID part, it won't matter how your e-mail is addressed. Either emailid@worldnet.att.net or emailid@att.net will be found by the filter.
      4. Click on Add Criterion. Additional choices will appear.
      5. In the first drop-down menu, choose Any Cc recipient as the criteria.
      6. In the second drop-down menu, choose Does not contain.
      7. Type in your e-mail ID (the part to the left of the @ sign) in the space to the right.
    3. Then Section: From the first drop-down menu select Move message; from the second drop-down menu choose the folder you just created, Spam.
    4. Click the OK button

    5. The Rules window will reappear with your new rule enabled. Close the window.

    6. From now on, all e-mail that doesn't have your e-mail address in the To or CC fields will be sent to the Spam folder. This rule will catch some e-mail from mailing lists, etc. We recommend that you periodically check the e-mail in this folder. You could then add a rule for all e-mail that you want to see. Below is an example of a rule for a mailing list. Entourage also has a separate Mailing List Manager that you might want to use.

You will find helpful information on controlling your rules in the Entourage help section. We've shown a screen shot of a sample of multiple rules below. By placing the Mailing Lists rule BEFORE the Spam rule, it will be addressed first so that your e-mail from lists will not be placed in the Spam folder.
